Badge roster from spreadsheet — who is coming, on every face

You already have the names: registration export, CRM dump, or training sign-up sheet. Import that people list into Ink Badge Hire, map columns to badge fields, and programme a 250×122 face for each attendee — no print desk, no retyping at the door.

Start with your attendee list

Conference organisers, training leads, and exhibition teams usually hold a spreadsheet before badges exist: first name, surname, company, ticket type, session track, dietary flags in one column you ignore. The people import flow accepts .xlsx, .xls, and .csv files, or pasted TSV/CSV straight from Excel or Google Sheets.

After upload, match headers to target fields — main line, line 2 (firm), featured line (role or track), footer label (MEMBER or VISITOR), and QR action URL. Optional email columns feed account invites. The mapper is the bridge between who is coming and what each badge shows.

Conferences, training days, and exhibitions

The same import flow works for a three-hundred-delegate conference, a quarterly training workshop, or an exhibition stand issuing visitor badges. Faces use four colors — brick red, black, paper white, and the remaining channel the panel supports — enough for name, firm, category bar, and QR without greyscale mush.

How do I turn a spreadsheet into badge faces?

Create an account, open People, and upload an Excel or CSV file — or paste TSV/CSV from your registration export. Map spreadsheet columns to badge fields (name, firm, role, MEMBER/VISITOR, QR URL). Each row becomes a person in your directory ready for face preview and dispatch.

What columns should my attendee list include?

At minimum: a main name line and usually a firm or organisation. Add a featured line for role or session, a footer label for MEMBER or VISITOR, and a QR action URL if you want scannable links on the badge face. Email helps with account invites but is not required on the face itself.

Can I paste a list instead of uploading a file?

Yes. Copy rows from Excel or Google Sheets and paste into the People import panel. The same column mapper runs for pasted data and uploaded files.

Do I need to design a layout before importing names?

You can import first or design first. Many organisers design a template in the free designer, save it to their account, then import the roster so each person gets the same layout with different field values.

How does the roster connect to hire or purchase?

After people are in your directory, attach them to an event and order hire for your dates or buy hardware. Faces are programmed before dispatch from your people list — no manual retyping at registration.

Can I see who is coming before badges ship?

Yes. Your people directory is the source of truth for who is on each badge face. Add, edit, or remove rows before checkout; during the hire window you can still update faces until dispatch locks.
